AI can speed up planning, feedback, and communication-but only if we protect student data. This guide gives you a clear, teacher-friendly workflow to use AI responsibly: what to share, what to never paste, how to de-identify, how to vet a vendor, and copy-paste templates for notices and requests.

What counts as student data?

  • Direct identifiers: full name, email, student ID, address, photo/video, voice.
  • Sensitive or protected info: grades, attendance, behavior notes, IEP/504 info, health data, immigration status.
  • Indirect identifiers: small-class combinations (e.g., â€Å“only 1 new student in 7th grade Algebraâ€Â), timestamps tied to events, unique writing samples.

Rule of thumb: If a detail could let someone reasonably figure out a specific student, treat it as student data.

Green, Yellow, Red: a simple sharing framework

  • Green (safe to paste): de-identified prompts, generic rubrics, topic outlines, non-student content, public standards, anonymized examples you wrote.
  • Yellow (needs de-identification + caution): student work excerpts, parent messages, behavior scenarios-only after removing direct/indirect identifiers.
  • Red (do not paste): names, contact info, IDs, IEP/504 details, health/discipline records, anything the tool can retain that identifies a child.

De-identification quick method (copy this prompt)

De-identify the following text. Replace names with neutral labels (e.g., Student A), remove locations, dates, and any specific identifiers. Preserve the learning content and error patterns.

Safe prompting patterns for teachers
